In any professional software, exporting of data is a very important aspect and Tally has taken utmost care with regards to exporting of data.
Primarily Tally is used by most of the people for accounting purposes. Therefore exporting of different accounts and reports is even more necessary.
If you want to file a simple income tax return, you would want the figures from profit and loss account and balance sheet and for that you need to export the information from Tally.
Specifically in Tally, exporting different reports and accounts is required every day.
Imagine you are running a company.
- Your auditor would want different accounts for the audit of your company.
- To know what the costs of manufacturing are, you will need inventory vouchers.
- For taking important decisions, you will require ratio analysis.
- Banking will be required to take care of daily transactions.
- Payroll reports will be required for tracking employee costs.
And many more information is required for on daily basis by different persons in a company to run a single business.
All these information can be obtained in Tally in the form different reports.
In Tally, you can export every single account, report or any information you want by just one command.
That command is ALT+E.
This is true.
In whichever report you are, just press ALT+E and you will be able to export it.
6 Different Exporting Formats in Tally
In Tally, information can be exported in total six different formats.
- ASCII (Comma Delimited)
- Excel (Spreadsheet)
- HTML (Web-publishing)
- JPEG (Image)
- PDF (Portable Document Format)
- XML (Data Interchange)
Of the six formats, most used ones according to my knowledge and experience are Excel and PDF formats.
In the image below, I am exporting Balance Sheet from Tally.
If you have Tally try exporting in different formats and you will see the differences. Though there are not many of them.
People use Excel format for exporting because they can later edit the numbers in file. On the other hand, PDF format is used when you don’t want anyone to edit your file.
Where to find that Export Option in Tally
I said earlier in this post that you can export information from any report or any account in Tally.
The option of exporting is on the top of every screen in Tally.
In the image below, you are seeing Export option in Balance Sheet.
In this picture down, you are seeing Export Option in Trial Balance.
As you can see, the export option remains at the same place. What changes is the screen under it.
If you have noticed, you can also email anything directly from Tally to anybody if you want. That is just another cool feature Tally has.
Other Options while Exporting data in Tally
These options which you are seeing in the picture above, change according to what you are exporting from Tally.
But they are useful and that is the reason, they are there.
Certain options like Scale Factor for values which means showing numbers in millions or crores or to show percentages or not are quite useful.

From whatever screen you are on Tally, just press ALT+E to export.
For example, from ledgers, you can easily export all the entries by pressing ALT+E.

From Gateway of Tally, go to Display.
Then select Trial Balance.
Now export and select all the options as you require.
And press Enter. You’re done.

How to automate the data export(xml) from Tally to a folder(setting refresh/update the data every 30min.).

When we go to DL, we see list of all accounts. If we export XML from here, the xml file has all the details of Sundry Debtors/Creditors with Name, Code , PAN, Adress etc. But if we export as an excel what we get is what we see on the screen i.e. the list of accounts. What we want to do is export list of debtors/creditors/inventory items/invoices in excel with each row depicting a record and column depicting the data. E.g
Debotr Name | Adddress | PAN ..

When you select all the options to Yes at the time of exporting, you will get all the details.

We are doing a lot of online sales through various portals and my accountant has to enter each and every detail of a new customer , products sold, and invoices manually, although the Sales portals provide us with consolidated data sheets for all sales done through them
Is it possible that my accountant directly populate an excel file and upload into Tally and get the invoices printed without having to enter each invoice detail separately and manually

But it is not possible to import Excel sheets in Tally.
There are add-ins which you can try, but I have not seen anyone using them for online sales.

1. New customer buys an item from an ecom site
2. Ecom site sends a PDF stating transaction details
3. I issue invoice by manually entering data from that PDF
All this is becoming very troublesome as our sales are increasing

I ran an e-commerce site earlier.
I suggest you should put a mechanism in the site that auto generates the invoices.
This way, you do not need to create every invoice from Tally.
You can assign accounting to an accountant who will do the entries for you from the invoices auto generated from your site.

You can add description while passing the entry if you want add remark.
Also, you can add narration in the entry in which you want to add remark.
There is no option of directly adding remark while exporting.
how can i export Income tax no. from tally 7.2 from creditors list
You cannot export specific income tax number from Tally 7.2 or even Tally.ERP 9.
For that you might have to buy some addon.

You cannot export group of ledgers but you can export ledger by ledger.
Press DAL consecutively from Gateway of Tally and select the ledger you want to export.
Now, select the time and export it to Excel.
In my Tally ERP 9 the exported file could not open automatically. How can solve the problem.? The option of exported file/folder is yes.

Please check you have set YES for the option saying that exported file should open after the export.
If then also it doesn’t work, please try reinstalling Tally. It should work then.

You can export everything from the option called Multi Account Printing.
In there, there are differnt kinds of options through which you can print everything. Select PDF while printing.
Or, you can go to the Display option and you can find everything you want to see.
Go in the options and you can export whatever you like in the Excel.
For everything, go to the Display menu and export everything in each option. It will not be in a single spread sheet but that you can merge easily.
This way you will have all the information.
Can sale data be exported month wise including fields like customer name, invoice date, amount ?

Go to Display > Account Books > Sales Register.
Now, go the month for which you want the information.
Now, export and Type YES for Show Columnar Register and select the specific details that you want.

This kind of problem occurs sometimes and it mostly happens in pirated or crack version of tally.
Also, try restarting tally to see of the error goes away.
